The advantages of people working from home include

-????????????? reduced time and hassle spent commuting,

-????????????? the ability to be at home with your dog or cat or favourite chair or music,

-????????????? reduced interruptions from colleagues,

-????????????? and, for the employer – the money saving of a smaller office.? Maybe we could halve the amount of space needed if only half of the workforce were in the office at any given time…??

One of the big snags with working from home is that we don’t get to meet our colleagues – so there is reduced teamwork, reduced creative synergy, and reduced learning from each other (especially new people learning from experienced people).

But what if we could have a system where we meet some of our colleagues each time we come in to work, and have a rota where everyone meets everyone else each week or two?

Would that be feasible?

Suppose we wanted to HALVE the office space – we could do that by half of the workforce coming in on one day, and the other half the next day, …but then they would never meet each other!

?

So how about if we divided the workforce into four quarters, and then we could rotate which OTHER quarter you see when YOUR quarter comes in to work.

It could work like this:

Monday Q1 and Q2

Tuesday Q1 and Q3

Wednesday Q1 and Q4

Thursday Q2 and Q3

Friday Q2 and Q4

So far everyone has met everyone else, except group 3 have not met group 4.

We need to go into a second week to get

Monday Q3 and Q4

?

So a two week rotation could maybe look like this

M - 1 2 in the office while 3 and 4 are at home

T - 1 3 in the office while 2 and 4 are at home

W - 4 3

Th - 4 2

F - 3 2

M - 1 4

T - 1 2

W - 4 2

Th - 4 3

F - 1 3

Everyone does the same number of days in the fortnight – 5 days out of ten

..and sees everyone else, though not quite in equal amounts.

That’s a pretty good rota.

Let’s just think about another system we could consider:

Suppose we wanted to save only a THIRD of the office space, rather than half - and so each third of the workforce would meet one of the other thirds when they come into the office, (and the third third would be at home).

Our rota could be like this:

Monday: 1 and 2 in the office while 3 is working from home

Tuesday: 2 and 3 in the office while 1 is working from home

Wednesday: 3 and 1 in the office while 2 is working from home

?

In only three days everyone has met everyone else.

In the previous system quarters 1 and 4 didn’t meet for over a week

(which may or may not matter).

If we are doing thirds rather than quarters, we need a slightly bigger office, but we meet each other a lot more often.? Every three days in fact.

But of course the snag that still exists, even with the above rotas, is what if you need a three-person meetingwith people from 1 2 and 3 – then you’re stuck!? (However, you’d still have zoom for the person who is working from home, and maybe that would be good enough….)

?

So let’s finally look at a more complicated but also more mixed-in system.

Suppose we want to work from home half the time, i.e. 2 or 3 days a week, so half of the workforce are in the office at any one time, but this time instead of dividing them into four groups like we did before, we’ll divide them into eight…. So there are more permutations of people who can all meet together:

There are 70 combinations so this would take 14 weeks before it repeats (of course the above list would be mixed up so a group wasn’t working from home, or in the office, for lots of days in a row)

Each person would see each other person every few days, as before.

And any combination of three, e.g. 1 2 and 3, or 1 5 and 7, comes up every 5 times in 70 which is one time in 14, or about once every three weeks – which might be enough for a three way meeting?

And of course, if they NEED a more urgent meeting people could use zoom, or they could contact each other and arrange to come in together on a particular day.?

In fact it might be simplest to have the first rota, the really simple one, and then for three way meetings (or more) people can move their days as required.

?

In fact, you might be wondering why not just let everyone do what they like – but if you do that there are three risks:

a)??????? Random chance, everyone turns up one some days and can’t fit into the office

b)??????? Lots of people work Mondays and Fridays from home, and the office gets too busy midweek.

c)??????? People who work Mondays and Fridays don’t meet the midweek people - or in fact anyone who has a routine of working from home on a particular day, for example Thursdays for whatever reason, might never meet someone who works a different routine.

So I think some sort of rota is needed, probably a simple one, as described above.

This is a great idea and if the company structure allows it and of course the boss is flexible, it could work. I bet the "blue" people would love to create such a matrix spending time to find the most effective schedule.
